Apply to every service.
1. About us
1.1“Travel Style”, “we”, “us” and “our” mean Travel Style (UK) Limited, a company registered in England and Wales (company number 04780909), registered office 266 Farnham Road, Slough SL1 4XL. Travel Style is our trading name.
1.2We are an IATA-accredited travel agent and we also provide visa, passport, OCI and document preparation services.
1.3Contact us through our contact form, by phone on 01753 490100, or at our office at the address above.
2. These terms
2.1These terms apply to every service we provide, whether you book in our office, by phone, by WhatsApp, by email or through our website.
2.2Part A applies to all services. Part B also applies to travel bookings, Part C to visa, passport and OCI services, and Part D to document preparation services.
2.3Please read these terms before you book. By paying for a service, you confirm you have read and accept them.
2.4We may update these terms from time to time. The version in force on the date you book applies to that booking. Later changes apply only to new bookings.
2.5Nothing in these terms affects your legal rights as a consumer.
3. Your contract with us
3.1Your contract with us starts when we confirm your booking or service in writing (including by email or WhatsApp) or in person, and we have received your payment.
3.2The person who makes the booking (the “lead customer”) must be 18 or over and is responsible for payment for everyone included in the booking. The lead customer confirms they have the authority of everyone named to accept these terms on their behalf.
3.3For travel services we act as an agent for airlines, hotels, tour operators and other suppliers (see Part B). For visa, passport, OCI and document services we provide the service to you directly.
4. Prices and payment
4.1Before you pay, we will tell you the total price. Where it applies, we will show our own fee separately from fees we pay to others on your behalf (for example embassy, visa centre, government or airline charges).
4.2Unless we agree otherwise in writing, full payment is due when you book.
4.3You can pay by debit card, credit card, bank transfer, or cash at our office.
4.4We do not charge a fee for paying with a personal debit or credit card. A fee may apply to business or corporate cards; if so, we will tell you the amount before you pay, and it will not exceed our cost of accepting that card.
4.5If you pay with a card that is not in your name, we need written authorisation from the cardholder.
4.6If a payment you make is reversed or fails, the amount becomes due again, and we may pause or cancel the service until it is paid.
4.7Prices we quote are held only for the periods set out in these terms (for example, until tickets are issued for travel, or the completion period in clauses 26 and 34 for visa and document services).
5. Your right to cancel (cooling-off period)
5.1Booked in our office: services agreed and paid for in person at our office do not come with a legal cooling-off period.
5.2Booked by phone, WhatsApp, email or online: for services (not flights or dated accommodation), you have a legal right to cancel within 14 days of the day the contract is made, without giving a reason.
5.3If you want us to start work within those 14 days, you must ask us to, in writing (an email or WhatsApp message is fine). If you then cancel within the 14 days, you must pay for the work already done up to the time you tell us. Once we have fully completed the service, the right to cancel ends.
5.4The 14-day right does not apply to flights, or to accommodation, car hire or other travel services for specific dates.
5.5To cancel, send us a message through our contact form (choose “Cancellation”) with your name and booking reference. Any refund due under this clause will be paid within 14 days using the original payment method.
6. Our fees and refunds
6.1Our services are non-refundable once we have started work, unless these terms say otherwise. In particular:
- our preparation or service fee pays for the work we carry out when your service begins (reviewing your information, preparing forms and documents, and booking appointments), so it is non-refundable once that work has started;
- if you cancel before we have started any work, we will refund our fee in full;
- fees we have paid to others on your behalf (embassy, visa centre, government, airline or supplier charges) are non-refundable once paid, unless that third party refunds them to us;
- travel bookings follow the supplier’s fare or booking rules (Part B).
6.2If we cancel a service, or cannot provide it for reasons within our control, we will refund what you paid us for any part of the service we have not provided.
6.3This clause does not affect your cooling-off rights under clause 5 or your other legal rights.
7. Your responsibilities
7.1You must give us complete, true and accurate information and documents, and tell us straight away if anything changes.
7.2You must check every document, ticket, form and application we prepare before you sign it, submit it or travel on it, and tell us immediately about any error. Names must match your passport exactly.
7.3You must reply to our requests for information or documents promptly. Delays on your side may mean the service cannot be completed in time, or at the quoted price (clauses 26, 27 and 34).
7.4Please send documents to us through our secure upload link or bring them to the office. Do not send identity documents by ordinary email, as email is not secure.
7.5You are responsible for any loss, cost, refusal or delay caused by information that is false, incomplete or late.
8. Timescales
8.1Any timescale we give is our best estimate, not a guarantee, unless we have expressly agreed a fixed date with you in writing.
8.2Many steps depend on others: embassies, visa centres, government departments, airlines, couriers, and you. We are not responsible for delays caused by them, or by events outside our control (clause 10).
8.3We will carry out our part of each service with reasonable care and skill and within a reasonable time.
9. Our liability to you
9.1If we fail to comply with these terms, we are responsible for loss you suffer that was a foreseeable result of our failure or our failure to use reasonable care and skill.
9.2Our total liability to you for any service is limited to the price you paid for that service, except where the law does not allow us to limit it.
9.3We are not responsible for the following, except where the loss was caused by our own failure to take reasonable care or to follow your instructions:
- the decisions, acts or failures of airlines, hotels, tour operators, embassies, visa centres, government bodies, couriers or other third parties;
- loss caused by incorrect or incomplete information you gave us, or by your failure to follow our instructions;
- business losses, or losses that were not foreseeable;
- events outside our control (clause 10).
9.4Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot legally be limited or excluded.
10. Events outside our control
10.1We are not responsible for failure or delay caused by events outside our reasonable control. These include war or threat of war, terrorism, riot, civil unrest, strikes, natural disasters, fire, extreme weather, epidemics, government action or travel restrictions, sanctions, airspace or border closures, airline or supplier failure or insolvency, and failures of utilities, IT or communication systems.
11. Appointments
11.1To change or cancel an appointment with us, or an appointment we have booked for you (for example with a visa centre or embassy), please contact us through our contact form (choose “Change or cancel an appointment”) by 5 pm two working days before the appointment (working days are Monday to Friday, excluding bank holidays).
11.2If you cancel or change an appointment after that deadline, or do not attend it, we charge a £50 missed or late-cancelled appointment fee, which covers our administration time and the cost of rebooking. We will tell you about this fee before we book the appointment.
11.3If the organisation you have the appointment with (for example a visa centre) charges its own non-refundable fee, we will pass on that fee only if we have actually paid it, and we will not charge you twice for the same cost.
12. Complaints
12.1If you are unhappy with our service, please send us a message through our contact form (choose “Complaint”) with your booking reference and details of the problem, or tell us in person or by phone.
12.2We will acknowledge your complaint within 10 working days and aim to give you a full response within 30 days. If we need longer, we will update you on our progress and give you a new date.
12.3If you have a problem during your trip, report it to the supplier (for example the airline or hotel) straight away, so they have the chance to put it right. Please also tell us as soon as you can after you return. Reporting late does not remove your legal rights, but it may make the problem harder to investigate.
12.4Complaints about how we use your personal information are handled as set out in our Privacy Notice.
13. Your personal information
13.1We use your personal information as explained in our Privacy Notice on our website.
14. Our website, copyright and trade marks
14.1Information on our website is general guidance only. Entry, visa, passport and health requirements change often; always check with the relevant embassy or official government source.
14.2The content of our website, and the Travel Style name, logos and monogram, belong to us. You may not copy or use them without our written permission. Other names and logos shown belong to their owners.
14.3We do our best to keep the website available and free of errors and viruses, but cannot guarantee this.
15. Law and courts
15.1These terms are governed by the law of England and Wales. You can bring proceedings in the courts of England and Wales; if you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
16. Our role as your agent
16.1When you book flights, hotels, car hire or other travel services, we act as agent for the supplier. Your contract for that service is with the supplier, and the supplier’s own terms and conditions apply as well as these terms. We will give you, or tell you where to find, the supplier’s key terms before you book.
17. Flights and financial protection (ATOL)
17.1Flight-only bookings: we sell flight-only tickets as an IATA-accredited agent, using the ticketing authority of the airline named on your ticket, and we issue your ticket as soon as you pay. We will tell you which airline we are acting for. These flight-only bookings are not protected under the ATOL scheme. We will tell you this before you book and on your confirmation.
17.2Packages and ATOL-protected bookings: where you book a package holiday, or any booking that is ATOL protected, we sell it as agent of the ATOL holder named on your booking. You will receive an ATOL Certificate from the ATOL holder, which tells you what is protected, where to get information about your protection, and who to contact if things go wrong.
17.3For ATOL-protected bookings only: if the ATOL holder or its suppliers cannot provide the services listed on your ATOL Certificate because of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. In return you agree to assign to those Trustees any claims you have in relation to the services not provided, including any claim against us or your card issuer, and that those claims may be re-assigned to another body that has paid sums you claimed under the ATOL scheme.
18. Fares, changes and refunds
18.1Unless we tell you otherwise in writing, all tickets are non-changeable and non-refundable.
18.2Where the airline allows a change, cancellation or refund, the airline’s charges apply, plus our administration fee of £185 per ticket per person for scheduled fares, or £200 for discounted fares. We will confirm the full cost before we make any change.
18.3Refunds are paid to you once the airline or supplier has refunded us. Airlines can take several weeks, and sometimes months, to process refunds. We are not responsible for the airline’s delay.
18.4Fares and taxes are not guaranteed until your ticket is issued. If a fare or tax increases before your ticket is issued, we will tell you, and you can choose to pay the new price or cancel and receive a refund of what you paid for that booking.
18.5Some departure taxes have to be paid locally at the airport and cannot be included in your ticket.
19. Checking your flights
19.1You are responsible for:
- checking your ticket and itinerary as soon as you receive it, and telling us at once about any error;
- reconfirming your flight times with the airline at least 72 hours before departure, and checking again on the day;
- arriving at the airport in good time. We recommend at least 3 hours before an international departure;
- meeting the airline’s check-in, baggage and documentation rules.
19.2Flight times are set by the airline and can change. A “direct” flight may stop on the way. The airline is responsible for delays, cancellations, schedule changes, missed connections, denied boarding and lost baggage, and for any care or compensation owed to you by law. We will help where we reasonably can, but we are not liable for these.
19.3If an airline changes your schedule, the airline’s decision on alternatives is final. Our administration fee (clause 18.2) may apply if you then ask us to rebook.
20. Hotels, car hire and other services
20.1Most hotel rates are non-refundable. Each supplier’s cancellation rules apply and we will tell you them before you book. Special requests (for example a room type or a meal) are passed on to the supplier but cannot be guaranteed.
21. Flights with hotels or other services, and package holidays
21.1If you book a flight together with a hotel, car hire or other travel service for the same trip, including where you choose the extra service later in the same visit, phone call or conversation with us, the law may treat what you buy as a package or a linked travel arrangement, even if you pay for each part separately.
21.2When we book a hotel or other service for you alongside a flight, it is supplied by a third-party supplier under a separate contract between you and that supplier. Either you pay the supplier directly with your own card, or any payment you make to us for it is passed to the supplier straight away. We do not hold your money for these services.
21.3Where this creates a linked travel arrangement, we will give you the standard information the law requires before you book. A linked travel arrangement is not a package: you do not have the rights that apply to package holidays, and each supplier is responsible for providing its own service. Because we do not hold your money for these services, they are not covered by insolvency protection from us.
21.4Package holidays are provided by the organiser named on your booking, who is responsible for them under the Package Travel and Linked Travel Arrangements Regulations 2018. The organiser’s own terms, including their rules on price changes, alterations and cancellations, apply.
21.5The law on combined travel bookings changes on 6 April 2027. We will update these terms before then.
22. Travel insurance
22.1We do not sell or arrange travel insurance. We strongly recommend you buy suitable travel insurance independently as soon as you book, to cover cancellation, medical costs and other risks.
23. Passports, visas and health requirements
23.1You are responsible for having a valid passport, any visas or travel authorisations, and meeting the health requirements of every country you visit or pass through. We are not responsible if you are refused boarding or entry.
23.2Some countries require airlines to collect passport and travel details in advance (Advance Passenger Information). You agree to provide these, and we may pass them to the airline, which may pass them to the authorities of the countries concerned.
24. Behaviour
24.1If your behaviour is disruptive, dangerous or offensive, the airline or supplier may refuse to carry or accommodate you. In that case no refund or compensation is due, and you are responsible for any resulting costs.
25. What we do
25.1Applications to other countries (for example Indian visas, OCI and Indian passport services, and visas for other countries): we help you prepare and complete your application, compare the documents you give us with the published checklist for that application, book appointments where needed, and submit the application where the authority allows us to.
25.2UK immigration and nationality applications: we provide practical help only. You choose the type of application, the answers you give and the evidence you send, and you submit the application. We can explain what a form is asking for, enter the information you give us, book appointments and help you find the published guidance.
25.3We are not regulated to give UK immigration advice, so we do not advise which UK route or application you should make, whether your evidence meets the Immigration Rules, or on the merits of your case, and we cannot act for you with UK Visas and Immigration. If you need that advice, we can direct you to a regulated immigration adviser or solicitor.
25.4We do not give legal advice on any application.
25.5The decision on every application is made by the embassy, visa centre or government authority, not by us. We cannot guarantee that an application will be accepted, approved or processed within any time, and we are not responsible for a refusal, a delay or a change in the rules.
26. Fees and the completion period
26.1Our preparation fee is non-refundable once we have started work, including if your application is refused or withdrawn.
26.2Embassy, visa centre, courier and government fees are charged at the rate in force when the application is submitted, and are non-refundable once paid.
26.3Completion period: you must provide everything we need to complete your application within 6 months of payment.
26.4You can ask, before the 6 months end, to extend the completion period once by a further 3 months, for a fee of 50% of your original preparation fee.
26.5If the completion period (including any extension) ends without the application being completed because of a delay on your side, the service will close. We will keep the preparation fee for the work done. If you want to continue later, you will need to book again at the price then in force.
27. Price changes
27.1Our quoted price is held for the completion period. If the application cannot be completed within that period because of a delay on your side, and our prices or third-party fees have increased, you must pay the difference before we continue. You may instead choose to end the service, in which case clause 26.5 applies.
28. Follow-up work
28.1Our fee covers the application described when you booked. Further work after submission (for example responding to requests from the authority, appeals, re-applications or additional correspondence) is charged at £150 per hour, and we will tell you before starting.
29. Your documents
29.1We will take reasonable care of any original documents you give us, and return them to you on completion. Documents sent by post or courier travel at your own risk unless you pay for a tracked and insured service.
30. What we do
30.1We prepare documents from your instructions, including wills, Lasting Powers of Attorney, Indian Powers of Attorney, affidavits, statutory declarations, deed polls, tenancy agreements and letters.
31. We do not give legal advice
31.1We are not solicitors and we do not give legal advice. We prepare documents based on the information you give us. If your circumstances are complex, or you are unsure what you need, you should take independent legal advice before signing.
32. Checking and signing your documents
32.1You must read every document carefully before you sign it. By signing, you confirm the contents are correct and reflect your wishes.
32.2Each document must be signed, witnessed, sworn or declared as the law requires for that document. For example:
- affidavits and statutory declarations must be sworn or declared before a solicitor, commissioner for oaths or notary public. We do not administer oaths;
- wills and Lasting Powers of Attorney must be signed and witnessed according to their legal requirements, which we will explain;
- Indian Powers of Attorney may need notarisation, legalisation or attestation, and stamp duty and registration in India. You are responsible for completing these steps.
33. Registration and third-party fees
33.1Some documents must be registered to be used, for example a Lasting Power of Attorney with the Office of the Public Guardian. Registration fees are payable to that body, are separate from our fee, and are non-refundable once paid. The registering body’s decisions and timescales are outside our control.
34. Fees and the completion period
34.1Our preparation fee is non-refundable once we have started work.
34.2The completion period, extension and price change rules in clauses 26.3 to 27.1 also apply to document preparation services.
35. Storage of documents
35.1We do not store original wills, Lasting Powers of Attorney or other original documents. Once signed, you are responsible for keeping them safe and telling the people who need to know where they are.
